Macquarie University Health is seeking a service-oriented Patient Admissions Officer to join the Patient Services team at Macquarie University Hospital. This is an exciting opportunity for a dedicated and personable administrator to play a vital role in shaping the patient experience from the very first point of contact.

The Patient Services team is central to delivering a seamless and positive journey for every patient, supporting key touchpoints including bookings, pre-admission, front desk reception, switchboard support and inpatient admissions. In this role, you will ensure patients are welcomed, informed and supported throughout their admission journey, while completing all required administrative processes accurately and efficiently.

Working within a collaborative and supportive team, you will liaise closely with clinical and non-clinical staff to support the smooth operation of hospital services and uphold a consistently high standard of patient-centred care. About the Role

Key responsibilities include:

  • Managing patient bookings, pre-admission processes and appointment coordination.
  • Performing Private Health Fund eligibility checks and confirming patient details.
  • Managing competing priorities in a fast-paced admissions environment while maintaining accuracy in line with legislative and organisational requirements.
  • Maintaining hospital main switch and phone communication for all incoming calls.
  • Admitting patients to the hospital and completing all required admission documentation.
  • Providing front desk reception and responding to patient enquiries in person and over the phone.
  • Supporting clinical teams through effective administrative coordination.
  • Identifying and escalating issues or discrepancies promptly to team leaders and managers.
  • Contributing to a positive, professional and team-focused work environment.

About You

You are a professional and approachable administrator who enjoys working directly with patients in a fast-paced healthcare environment. You are detail-oriented, calm under pressure, well-organised and committed to delivering excellent customer service at every interaction.

Selection Criteria

  • Demonstrated experience in a reception and/or administrative role, preferably within a healthcare or private hospital environment.
  • Strong verbal and written communication skills with the ability to build rapport and demonstrate empathy with patients.
  • A high level of customer service and professionalism.
  • Experience performing Private Health Fund eligibility checks and understanding outcomes, including experience working with workers' compensation (WorkCover) and third-party payers.
  • Competency in health-related software systems (experience with TrakCare desirable).
  • Excellent organisational skills, time management and attention to detail for handling personal, medical and financial data.
  • Ability to work effectively as part of a multidisciplinary team.
